Help! I Can’t See New Documents Checked Out to Someone Else!


OK. So here's a frustrating scenario. You have a document library with a required column on it. One of your users is about to leave for vacation and uploads some documents to the library. She is in a rush and forgets to enter the required metadata. The documents remain checked out to her.









 

Unfortunately, no one else can see the documents because they have never been checked in. Even the site owner can't see the documents.


Fortunately, there is an easy way to handle this situation. The site owner can go to the Document Library Settings page and click on the link to Manage checked out files.


From here, he can select the documents and click the Take Ownership of Selection link.


Now, the site owner can enter the missing metadata and check the documents in so others can see them.

Ricky - In my experience, if the documents have NEVER been checked in, not even the Site Collection Administrator can see them.

You can try this out on your own if you have two accounts... one with contribute permissions and one with admin permission. Use the contribute login to upload a couple files with mandatory columns. Don't add the metadata and don't check them in. (This usually happens when people are dragging files in through Windows Explorer).

Login as the admin and you won't be able to see the files to gain management rights because they were never checked in.

Mark - Just did this test again. You are correct that even the site owner can't see them in library at first, however the site owner can click on Site Settings --> Manage Checked Out Files, and take ownership of the items. Once the site owner takes ownership of the documents, the site owner will be able to see them in the library.

Is there a way to view all documents that are checked out from all the different libraries? I currently have over 200 different libraries and am administrator. When someone leaves the company and does not check the document back in, it causes big issues. Any ideas?

nooneknows - There may be some third-party tools to show this, but I'm not aware of any other way to show all the checked-out documents in the entire site collection.

Anonymous - You can check in multiple documents at once using SharePoint Designer, or through the Manage Content and Structure tool if you're running MOSS.

Another option site Actions-> View Reports->Checked out to me

Select all the files and check in from actions menu.

With Office 2007, the checked out documents are saved to your hard drive under a folder called "SharePoint drafts". Does anyone know where these checked out documents live when using Office 2003?
